AMS

Equipment asset management for field installs

AMS replaced spreadsheets and phone calls with one system for tracking equipment through its whole life cycle, from stock room to client site. A field operations business in India uses it to schedule installations, log complaints, and keep payments straight.

The challenge

The business installs and services physical equipment at client sites and was tracking it by hand: which units were in the warehouse, which were out with a client, which needed a repair call, and who still owed a payment. That left room for equipment to go unaccounted for and for installation and complaint records to live in different places. We built a connected system so field staff and admins see the same equipment and client records, updated as work happens.

Who uses it

Field staff
Schedule and complete installations, log call registers and complaints, record inward/outward equipment movement.
Super admins
Approve users, manage the equipment and accessory catalog, review clients, and oversee payments across the business.

What we built

We built a Flutter user app and a separate Flutter super-admin app on a shared PHP API, covering equipment and accessory catalogs, installation scheduling with working-hour and completion tracking, complaint registers, inward/outward equipment movement, client records, payments, and role-based access. Notifications run through Firebase.

  • Equipment & accessory catalog

Add equipment and accessories by make, model, and serial number, with QR upload and availability tracking.

  • Installation scheduling

Create installations against a client and equipment, track working hours, and mark completion with photo uploads.

  • Inward/outward movement

Record equipment leaving for a client or returning to stock, searchable by name or serial number.

  • Complaint register

Log a complaint against an installation, track its status, and update it through to resolution.

  • Call register

Track field calls separately from complaints, with full add/edit/delete history.

  • Client records

Store client details and link them to installations, outward equipment, and payments.

  • Payments

Record payments against a client, see pending amounts, and review payment history per job.

  • Role-based access

Separate user and super-admin apps on the same data, with per-role permissions enforced by the API.

How it works

  1. Admin adds equipment, accessories, and a client to the catalog.
  2. Field staff schedule an installation against that client and equipment.
  3. Staff complete the installation, logging working hours and uploading a completion photo.
  4. Any follow-up issue goes into the complaint register and is tracked to resolution.
  5. Equipment outward/inward movement and client payments are recorded as the job progresses.

Every part of the product

  • User app

    Flutter

Field staff app for installations, complaints, call registers, equipment movement, and payments.

  • Super admin app

    Flutter

Admin app for approving users, managing the equipment catalog, and overseeing clients and payments.

  • User API

    PHP

Backend serving the field staff app: equipment, installations, complaints, payments, and clients.

  • Super admin API

    PHP

Backend serving the admin app with the same data model plus user approval and admin controls.

How it’s built

Two Flutter apps share one data model but talk to separate PHP APIs, one scoped to field staff and one to super admins, so each role only sees the endpoints it needs. Equipment, accessories, and clients are tracked by serial number and QR code so installations, inward/outward movement, and payments all reference the same record. Push notifications run through Firebase Cloud Messaging, and OTP-based password resets go out by email via PHPMailer.

Questions about AMS

What does AMS do?

AMS is an equipment asset management system that Venzpire built for a field operations business in India. It tracks equipment and accessories from the warehouse through installation at a client site, including scheduling, complaints, inward/outward movement, and payments, in one connected system for field staff and admins.

Which platforms does AMS run on?

AMS consists of two Flutter apps, a user app for field staff and a super-admin app for business admins, each backed by its own PHP API. The Flutter codebase lets both apps run on Android and iOS from one shared UI layer.

How does AMS handle equipment tracking?

AMS records every equipment and accessory item by make, model, and serial number, with QR codes for quick lookup. Inward and outward movement is logged against clients and installations, so admins can see where any piece of equipment is at any time, alongside its service and payment history.
