CIVIT
Residential facility booking and community management
CIVIT helps a residential community in Spain run its shared facilities: residents book a time slot for the gym, pool, or clubhouse from a mobile app, and the people running the building keep facilities, events, and bookings organized from a web panel. We built the API behind the resident app and both the building-level and portfolio-level admin panels.

The challenge
A building full of residents sharing a handful of facilities needs a fair, simple way to book time slots, with someone able to step in when a slot is full or a booking needs to be cancelled. CIVIT answers that with a resident-facing booking flow backed by a waiting queue, and two tiers of admin: a building admin who manages one building's facilities, time slots, and residents, and a super admin who manages the portfolio of buildings, facilities, and building admin accounts.
Who uses it
- Resident
- Browses their building's facilities, books an open time slot or joins the waiting queue, and gets notified of bookings and events.
- Building admin
- Manages facilities, time slots, events, and resident accounts for one building, and reviews and cancels bookings.
- Super admin
- Manages the whole portfolio of buildings and facilities, building banners, and building admin accounts.
What we built
We built a PHP/MySQL API that a resident mobile app calls to browse buildings and facilities, book time slots with a waiting-queue fallback, see events and notifications, and get push alerts. A building-level admin panel manages facilities, time slots, events, users, and bookings for one building, while a super admin panel runs the whole portfolio: buildings, facilities, banners, and building admin accounts.
Facility browsing
Residents see the facilities available in their building, with search by name.
Time-slot booking
Residents pick an open time slot for a facility; the API validates availability before confirming.
Waiting queue
When a slot is full, a booking can join a waiting queue and is promoted automatically if the earlier booking is cancelled.
Booking cancellation
Residents or admins can cancel a booking, which frees the slot and notifies the next person in the queue.
Events and banners
Buildings can publish events for residents, and the super admin can run promotional banners across buildings.
Push and in-app notifications
Booking, cancellation, and queue updates are pushed to residents via Firebase and logged in a notification history.
Building admin panel
A building admin manages facilities, time slots, events, residents, and bookings for their building.
Super admin panel
A portfolio-level panel manages buildings, facilities, banners, and building admin accounts across the business.
How it works
- Resident logs into the mobile app with email and password; the API issues an access token and stores their FCM push token.
- Resident browses the facilities available in their building and picks a time slot.
- If the slot is open, the booking is confirmed; if it's taken, the resident can join the waiting queue for that slot.
- Admins can see all bookings for their building and cancel one if needed, which frees the slot for the next queued resident.
- Residents get a push notification and an in-app notification history entry for booking, cancellation, and queue events.
Every part of the product
Resident mobile app (API)
PHP/MySQL, Firebase Auth, FCM push
Serves login, building and facility browsing, booking with waiting-queue logic, events, and notifications to a native mobile client.
Building admin web panel
PHP/MySQL
Manages one building's facilities, time slots, events, residents, and bookings.
Super admin web panel
PHP/MySQL
Manages the portfolio of buildings, facilities, banners, and building admin accounts.
How it’s built
The booking flow keeps availability checking and queue logic in one place: a booking request validates the slot, and if it's taken, the resident is queued rather than rejected outright, so a later cancellation can automatically promote the next person in line and notify them. The three-tier structure splits responsibility cleanly: the resident API only ever sees one building's data, the building admin API scopes every query to that admin's building, and the super admin API is the only one that can create buildings, facilities, and building admin accounts across the portfolio. Firebase handles both auth and push delivery, so booking and queue updates reach residents' phones immediately rather than only showing up on next app open.

Questions about CIVIT
What does CIVIT do?
CIVIT is a residential facility-booking platform Venzpire built for a client in Spain, letting residents book shared facilities like a gym or pool from a mobile app while building staff manage facilities, time slots, and bookings from a web panel.
What happens when a facility time slot is full?
Venzpire built a waiting-queue system into CIVIT's booking API: when a slot is taken, a resident can join the queue for it, and if the earlier booking is cancelled, the next queued resident is automatically promoted and notified.
Who manages CIVIT's buildings and facilities?
Venzpire built two admin tiers for CIVIT: a building admin panel for day-to-day facility, time slot, event, and booking management in one building, and a super admin panel that manages the full portfolio of buildings, facilities, and building admin accounts.
