The challenge
A retail chain needed one system to track store-level claims, stock issues and field visits across clusters instead of scattered paperwork. Stores reported problems and requested reimbursements through disconnected channels, making it hard for cluster managers to see what was happening across their region or for admins to track spend and recurring issues. EBO centralizes stores, claims, stock and staff activity under one role-based panel.

What we built
We built a PHP/Bootstrap admin panel with modules for stores, cluster managers and incharges, claims and claim types, stock issues, operational issues, expenses, staff leave, coupons, alerts and an enquiry feed, backed by a REST API with its own classes for each entity.
Store and cluster setup
Stores are organized under clusters, each with a cluster manager and incharge assigned.
Claims
Staff submit claims against configurable claim types, which managers review and process.
Stock issues
Stock problems are logged by type and tracked against the store they came from.
Operational issues
Non-stock operational problems are logged separately by type for cluster managers to resolve.
Expenses
Store and staff expenses are recorded by configurable expense type.
Staff leave and visits
Field visits and staff leave requests are tracked per store and staff member.
Coupons and alerts
Admins issue coupons and push alerts to stores, plus review an enquiry feed.

How it’s built
EBO is a single PHP/Bootstrap admin panel backed by a REST API, with the data model split into focused classes for admin, cluster and store entities. Claims, stock issues, operational issues and expenses each have their own configurable type table, so new categories can be added without code changes. Stores are grouped into clusters, each with a manager and incharge, and claims, issues and visits are scoped to that structure so a cluster manager's view naturally covers only their stores.
